Social Fair Coburg party schedule

Although every party is slightly different, here’s what you can expect.

The total length of the party is 1hour 40min (please make sure you put 15min early arrival time on the invites)

Example: If your party starts at 10am, you and your guests should arrive at 9.45am. (don’t forget to put this on your invites).

What happens after you book your party?

Please read before you book

  • $200 deposit to secure your party booking
  • Must book for maximum – if your numbers increase after booking (activities have limited capacity!) contact us as soon as possible
  • All participants require a signed waiver
  • Outside food and drinks are not permitted into the venue (excluding birthday cake, children water bottles & baby food)

Party confirmation process

  • 7 DAYS PRIOR.
    You’ll receive an email with details required to confirm your event.
  • 4 DAYS PRIOR.
    Reply to your email. By Wednesday 12 noon (or 4 days prior.) Confirm final numbers & additional food platters.
  • 48 HOURS PRIOR.
    Final payment due. We’ll send an online payment link (or visit our centre.)
  • EVENT DAY.
    Celebrate!
    Save time and make sure your online waiver is signed.
  • AFTER EVENT.
    Post event survey.
    We appreciate all feedback!

We allow simple balloons on weights – you can also bring some themed cups and plates to create the party of your dreams!

We’ll contact you on the Monday before your party to confirm final attendance numbers. You can add any extras on at this point if unsure when first booking your party.

Note: We don’t allow outside food into the venue. Only birthday cakes and lolly bags are allowed.

Frequently asked questions

  • To secure your booking, you are required to place a $200 non-refundable deposit. Please read the Terms and Conditions for further information.

  • We do not allow outside food into the venue, with the exception of birthday cake and take home lolly bags.

  • You MUST book for the maximum – you’ll be asked to confirm final amounts 3-4 days before your event. If numbers are reduced from originally booked, they’ll be removed from your booking. You must provide at least 24 hours’ notice if you have a last-minute cancelation.

    • If your numbers increase after you’ve booked please email us at coburg@socialfair.com.au ASAP so we can reserve activity spots (they are limited!).
    • 7 days before your party, you’ll receive an email asking you to confirm the final numbers and food extras.
    • Final numbers and food extras need to be confirmed 3-4 days before your party at 12noon (Wednesday 12noon).
    • Final payment is required 24 hours before your party starts – no further changes to numbers can be made.

  • We cater to a range of allergies.

    While we try our very best to cater to all dietary requirements, cross-contamination can occur in the kitchen and cooking appliances. Eg. chips are cooked in the same oil that items which contain gluten and/or egg.

    If you have a child who requires a special meal we require the following information:

    • Childs Name:
    • Allergy/Dietary Type:
    • Severity/Reaction type (eg. Religion, Anaphylactic, Rash, Intolerance etc):

    If the child isn’t your child, we recommend checking with the child’s parents on what best suits their needs. If the allergy is extremely severe and we are unable to provide a safe meal for the child – the parent can bring a lunch box for the child.

     

  • We have you sorted! Please book all kids in for the same activity when booking (if unsure – book all for Climbing as it is limited capacity). The week of the party- let us know how many children of each age / activity. We’ll then update accordingly.

  • All platters need to be pre-ordered. We can’t guarantee the kitchen will have capacity and/or stock to provide any additional platters on the day.

    Additional drinks can be ordered through the cafe or your party host.

  • They will still be encouraged to come out and join the party even if they just want to watch. We recommend adding on the Pre-booked $10pp Playground pass (inc Grip socks.) This gives them an alternative activity as well as extended play after the party.

    Note: Unfortunately, refunds or credits are unable to be issued for children who choose not to climb or glide.

  • Our party rooms are very funky and fun – they don’t need much! Keep in mind we get the party started pretty quickly – you won’t have much time to set up!

    Decorations permitted: 

    • Balloon bunches / numbers on weights
    • Themed table cloths
    • Themed cups, plates and cutlery

    Decorations NOT permitted: 

    • Decorations that stick onto the walls (including using blutack or command stips) *
    • Balloon Garlands, large backdrops, props, and stands (these are allowed with the exclusive mezzanine hire. Subject to availability)
    • Confetti 
    • Pinatas 
    • Silly String
    • Glitter
    • Sparklers or fireworks
    • Hired chairs and furniture

  • Unfortunately, we don’t take room requests. All our party rooms are gender-neutral.

    You’ll be allocated a room that comfortably fits all children (usually with a little leeway for parents). Rooms are allocated to the parties the week of the event once all bookings are confirmed.

  • Waivers must be signed for all participants. You have a couple of options:

    Option 1 : Bring a list of children’s names on the day and sign ONE waiver on behalf of all children. We staple the list to the paper waiver.

    Option 2: Have all parents sign the Digital Waiver prior to arrival by sharing the link from your confirmation email.

    Option 3: Have each parent sign a paper waiver on arrival (this can take a while so the other options are preferred).

  • Adventure Play is NOT included in Climbing Parties

    Extend your party fun by pre-booking ADVENTURE PLAY access to extend the FUN:

  • Yes!

    Please be mindful that if your cake contains frosting or icing we may not have any room in our fridges to store it. We, of course try our very best to make room.

  • Please put 15min earlier to the booking time of your event for Climbing parties. This allows for time to check in, wristband and harnessing.

    We recommend the host arrives at 20min prior, just to arrive before your guests.

    Your room becomes available on the hour.
    Eg. Party booked for 1pm.
    Host arrival time: 12.40-45pm
    Invites start time: 12.45pm
    Room available at: 1pm

  • Your party includes:

    • Party Host
    • 1hr of your chosen activity (you can extend you stay by adding the $10pp pre-booked Playground)
    • 40min in a private party room
    • Digital invites
    • Plates, cups, cutlery, napkins and serving items (eg. tongs, knife)
    • Gift for birthday child
    • Food catering
  • Tables are only reserved after your event IF you have added Playground Access. This table is reserved for 1hr following your event.

    We unfortunately don’t reserve tables during parties. All rooms are allocated to comfortably fit the number of children attending – with leeway for a similar amount of adults,

    If you have a large number of adults attending – please enquire about Mezzanine Hire (contact us for pricing). *Subject to availability

  • For parties, you must put 15min prior to the start time of the party. Eg. 2pm party = 1.45pm arrival time.

    Any late arrivals will join into the party from the point it is running.

    All parties run for 1hr and 40min.

  • We highly recommend booking all participants into the activity at the time of booking. Our centre and activities run on a capacity basis. If you believe that additional people may want to climb on the day this must be pre-booked. We can’t guarantee there will be spots available on or closer to the day.

    Would you like to add climbing for extra guests? Please send us an email at coburg@socialfair.com.au with your existing booking number. Our team will add these for you.

  • Need a bigger space for the adults? Got 25+ kids? Have a spacious comfortable area for everyone!
    You can hire the mezzanine level (connected to a Party Room) for 2hrs (contact us for pricing.)

  • Please set up your drinks tab with your party host or reception on arrival. We’ll require a credit card or debit card to put in safe keeping as a security- but don’t worry we won’t change it until you are ready to finalise the tab.

    You can order drinks through your host or cafe.

  • We recommend a birthday party for participants of 8 or more.
